Personalization means that some artwork changes between garments within an order. A name, number, role or individual message can be variable while the main design stays the same. This adds a data-control task to the garment project: the right content must reach the right shirt, size and recipient.

Separate common artwork from variable fields
Approve the shared graphic once, then identify exactly which fields change. A participant’s name and a staff role are different data categories, even when they appear in the same location. Use separate columns and preserve the requested capitalization. Avoid copying variable text manually from several message threads into production files.
Check the difficult cases early
Review the longest name, any special characters and the widest relevant number combination. A short example does not prove that every entry fits. Ask whether the layout maintains a fixed font size, scales text or uses an approved alternative. Set rules before production so each long entry does not require an improvised decision.
Verify assignment as well as spelling
A perfectly printed name on the wrong size is still an incorrect personalized garment. Connect the unique text to its garment version, size and distribution reference. Check intentional duplicate numbers rather than automatically deleting them. When different teams or departments share an order, similar names may be valid separate entries.
Plan corrections and spare stock
Unpersonalized spares can be handled differently from garments with unique names. Decide which approach suits the distribution plan and ask how any late additions will be quoted. Do not assume that a replacement can be supplied under the original order’s conditions. Retain the approved data file so any later query can be checked against the actual instruction.
Practical checklist
- Keep shared and variable artwork separate.
- Test long names and special characters.
- Verify text-to-size assignments.
- Approve a final locked personalization file.
