Event T-shirts can help identify roles as well as commemorate participation. A staff shirt, volunteer shirt and participant shirt may share an event identity while carrying different information. The design works best when it reflects how people will find assistance and how the organizer will distribute the garments.

Define the identification job
Write down what an attendee needs to recognize quickly. A clear role word may matter more than a decorative slogan for a help team. Consider front and back visibility, lanyards and other layers worn during the event. Avoid relying only on color to communicate a role; explicit wording creates another way to identify the correct person.
Build a version matrix
List each role, graphic version, size total and quantity. State whether the base garment is shared or changes between roles. The matrix should match the artwork filenames and packing instructions. A single overall total is insufficient when different groups require different prints, even if the shirts initially look similar.
Plan real distribution points
A central registration desk and several remote volunteer stations create different packing needs. Group garments in a way that supports the actual handover process. Keep size labels easy to find and distinguish intentional spare stock from assigned shirts. Avoid printing unnecessary personal information onto packing labels when a station or role reference will do.
Work backward from readiness
The required date is when checked garments must be available for distribution, not when cartons leave the factory. Include artwork approval, size collection, sample decisions, production, transit and receiving. If the event brief changes, update the matrix and delivery plan together so a revised slogan does not hide a new quantity or packing requirement.
Practical checklist
- Give each role a clear purpose and label.
- Keep version counts tied to artwork files.
- Pack for actual distribution locations.
- Plan for receiving checks before the event.
